GDPR Policy

The General Data Protection Regulation (GDPR) came into effect on the 25 May 2018. Protection of your personal data is of the highest importance to the OU Theatre Group Bookers Club 

So how do we collect your personal data?

Where possible we collect your personal data directly from you, either when you contact us through our website secure booking form, when you register for our mailing list, when you join our Facebook or Twitter accounts and when you book a theatre trip with us

What kind of personal data do we collect?

We will process personal data which is relevant to and specific to your trip details which may include the following:

  • first and last name
  • email address
  • accessibility to aid us book specific seats e.g. aisle seat for access **

On our trips to London we will collect the following information (by secure form)

  • contact telephone number **
  • next of kin emergency contact details **

How do we use your personal data?

Our primary use of your personal data is book and deliver the best theatre experience possible for you and your guests.

We use your email address to send you marketing and promotional communication and once confirmed to send you information and booking requests for your trip.

We ONLY use your personal information to book theatre tickets and confirm your coach spaces as and when it is required –  after each trip that personal information is then destroyed by being deleted from any electronic folders and shredding any paperwork.  

The details above may be given to the hotel/restaurant on our behalf to allow them to cater for special requirements e.g. food allergies

How long we keep your personal data?

At the end of each trip we aim to destroy any of the ** personal information relating to you and that trip within 3-5 days.

Your name and email address are kept on our booking forms against your booking for audit purposes. This is held on a secure server.

All email addresses are kept on a secure server using the OU’s List Management system for the life span of the Affiliated club.

What do we do with Photographs?

We often take photographs of our groups and trips as a memento of our successful visit, these are often put up on social media for all registered to share and see.  
If at any time you do not want to be included in these pictures please let the group leader know.
